Refund & Cancellation Policy
The Borough of Harrow Swimming Club is a non-profit making organisation and all membership, monthly and termly fees are used wherever possible to provide for the development of swimmers through pool time, coaches, insurance etc.
This policy is to explain the refund policy of the club.
The policy is subject to regular reviews by the Executive Committee.
Competitive Swimming Squads
The squad fees provide access to membership of that group and not for a contracted number of hours training per year. Sometimes training sessions are cancelled for reasons and circumstances that are beyond the clubs control.
Where possible the head coach and the management committee will endeavour to provide alternative extra pool time or land training sessions.
The club operates a no refund policy unless there have been three consecutive weeks of cancelled training sessions with no extra sessions having been offered.
It is recognised that members may wish to leave the club.
If a member leaves the club there will not be any refund of fees paid during the calendar month (squad swimmer)/term (learn to swim swimmer) in which they leave.
A competitive swimmer wishing to leave the club must give the Club Administrator written notice of resignation: this may take the form of an email addressed to firstname.lastname@example.org. A member’s resignation shall only be deemed to have taken place when the notice has been received.
In the event that a competitive swimmer wishes to resign from the club, one month’s written notice must be given or one month’s squad fees in lieu of notice is payable.
Where fees for upcoming galas have been paid, these are non-refundable in the event that a swimmer resigns from the gala.
Approval of any swimmer returning to the club is solely at the discretion of the management committee.
BHSC Term &Conditions for Learn to Swim Classes
1. New Enrolments
Temporary reservations for new members can be made for a limited, agreed period. Places are only secured when a completed membership form, medical form and full payment has been received.
Existing learn to swim members are offered a place in a class for the following term two weeks before the end of the current term. A notification is sent by email. If payment is not received by the due date the position will be deemed vacant and offered to another applicant.

3. Request for changes
If you wish to change either the day or time of a class please ask. We make every effort to accommodate requests for changes, however it is dependent upon the availability of vacancies and no guarantee can be given. Please note that memberships and lessons are not transferable to other people/family members and cannot be converted to other products or services.
We request that all payments for lessons be made via the club online payment system.
5. Cancellations and Refund
The Borough of Harrow Swimming Club is under no obligation to refund, credit or transfer your money in the event that you are unable to attend part of or the entire course.
We regret that we are unable to offer an alternative for missed lessons. Unfortunately, what may appear a simple request is impractical and a huge administrative task when the club has some 600 members who may all wish to be offered the same alternatives.
In the case of pool closure, the club are unable to offer refunds, outside the club’s control where less than 24 hours’ notice has been given. The club shall, however, use their best endeavours to provide lessons in an alternative pool or at the end of a specific term, if practicable.make up lessons or credit in due to contamination of the pool, inclement weather or circumstances
In the instance that a pool cannot be used with 24 hours’ notice, the club will endeavour, where possible, to re-schedule your lesson. In the event of the club having to cancel a lesson we will issue a credit against next term’s fees.
Where a pool is not available on a longer term basis (in excess of one week), on public health or other grounds outside our control (not including operational issues with the pool), then the club cannot be responsible for providing any further lessons to you during that time.
If this occurs, and in the event that it is not possible to reschedule the classes, the club will use their best endeavours either to issue you with a credit for the unused balance of your course fees or to recompense you in services or refund you in full.
Bookings can only be cancelled if written notification is received no later than 14 days prior to the commencement of the course, we will issue you a refund, less £10 the cost of the club membership fees. Club membership fees are non-refundable as these are passed to the Amateur Swimming Association immediately upon payment by you.
Cancellations received after 14 days but prior to the commencement of the course will receive a refund less a £20 administration fee and £10 club membership fees.
No refund or credit once the course commences.
All credits/refunds are discretionary and will only be considered for students who have incurred the following:
- Major illnesses
will not be granted for absences due to going away on holiday, exams or clashes with other activities. Make-up or replacement lessons are not offered when a session is missed.
Credits/refunds for medical reasons will require a medical certificate.
An administration fee of £20 will be deducted from all refunds/credits.
All students who are not toilet trained must wear tight-fitting waterproof pants and approved swimming nappies whilst in the pool.
All students in stage 2 classes and above should wear a swim cap and goggles.
If your child has been unwell or is suffering from a stomach upset we advise you not to bring your child along for their lesson.
